Student Council Formation and Election Process

To promote leadership, responsibility, and student participation in campus activities, a well-


structured student council will be established with representation from all academic years and
departments.

1. Departmental Leadership Structure

Each academic department will elect one student leader from each year – 1st Year, 2nd Year,
and 3rd Year. These leaders will be chosen through a democratic election process, where
students of the respective year and department will cast their votes to elect their representative.

Once elected, these student leaders will represent their batch and department in various college-
level discussions, initiatives, and student welfare activities.

2. Formation of the Student Council

The elected leaders from all departments will collectively form a 30-member Student Council,
which will act as the central decision-making and representative body for all students across
departments.

This council will serve as a platform for collaboration, planning, and executing various student-
centered programs and policies, ensuring inclusive participation and representation.

3. Election of the Central Leadership

From within the 30-member Student Council, further elections will be conducted to appoint the
following positions:

• President
• Vice President
• Ministers of Various Departments, such as:
o Sports
o Cultural Activities
o Academics
o Technical Affairs
o Social Services, etc.

These positions will be filled through a fair voting process among the council members, ensuring
that leadership roles are entrusted to deserving and capable individuals.
4. Ministry and Responsibilities

Each ministry will be responsible for planning and executing specific activities under their
domain. For example:

• The Cultural Ministry will organize festivals, talent shows, and inter-college cultural
competitions.
• The Sports Ministry will oversee all sports events, tournaments, and physical

5. Commitment and Accountability

To ensure dedication and clarity of responsibilities, all elected leaders and ministry members will
go through a formal sign-up process. This will include:

institution.

Responsibilities of the President – P.I. Degree College Student Union

The President of the Student Union holds the highest position of student leadership within
the college. He shall carry out the following responsibilities with integrity, dedication, and a
spirit of service:

1. Head of the Student Union:


He shall serve as the official head of the Student Union, leading with discipline, unity, and
commitment.

2. Representative of the Students:


He shall act as the voice of the student community, presenting their concerns, grievances,
and suggestions to the Principal and college authorities in a respectful and constructive
manner.

3. Leader in All Fronts:


He shall lead by example in all activities and initiatives. Whether it is academics, cultural
events, or sports, his involvement shall inspire unity and participation.

4. Planning and Management:


He will oversee the planning and smooth execution of all college events, acting as the
coordinator and head of the Events and Planning Committee.

5. Official Delegate in Meetings:


In all official meetings related to student matters, he will represent the student body with
clarity, confidence, and accountability.

6. Problem Resolution:
He will personally engage in resolving issues that affect students, ensuring that every
concern is addressed sincerely and timely.

7. Face of the College:


As the face of the student community, he shall uphold the dignity and values of the college
in every platform—both inside and outside the institution.

8. Spirit of Service:
Guided by the motto “I am here to serve the students and the college without any
selfishness,” he will foster unity among council members and students, creating a warm
and inclusive environment.
Responsibilities of the Vice President – Student Union

P.I. Degree College, Junagarh, Odisha

The Vice President of the Student Union is a pillar of strength, unity, and support. He stands
beside the President to uphold the values, vision, and responsibilities of the student
community. His role is as crucial as it is dignified.

Supportive Leadership:
He shall serve as the right hand of the President, assisting in every decision, action, and
execution. His presence ensures the Student Union works in harmony and strength.

Acting President When Needed:


In the absence of the President, the Vice President shall confidently take over all
responsibilities, ensuring that leadership never falters and the students are never left
unheard.

Coordinating Council Activities:


He will act as the connecting thread among all student ministries—Cultural, Sports,
Academic, Social, and more—making sure everyone works together as one united team.

Planning and Participation:


From college events to student campaigns, he will be involved in every stage—from
planning to execution. He will be a constant motivator, organizer, and helping hand to the
entire council.
Voice of the Students:
Alongside the President, he will listen to students’ concerns, stand for justice, and ensure
every student feels safe, heard, and valued.

Through his behavior, words, and actions, the Vice President shall reflect discipline,

Responsibilities of the Cultural Secretary – Student Union

Promoter of Art and Culture:

music, dance, drama, poetry, traditional festivals, and creative competitions.
Event Organizer and Planner:
He shall plan, coordinate, and conduct all cultural events within and outside the college,
including annual functions, college day, talent hunt, inter-college fests, and cultural
evenings.

Discovery of Talent:
He will be responsible for identifying talented students in various art forms and helping
them showcase their abilities. He will also provide platforms where hidden talents can
shine.

Cultural Team Builder:


The Cultural Secretary will form and lead cultural committees, assigning responsibilities
and guiding students to work as a team with creativity and discipline.

Preserving Traditions, Welcoming Innovation:


While celebrating local and traditional culture, he will also bring modern and innovative
ideas to make events more inclusive, exciting, and educational.

Voice of the Cultural Community:

Responsibilities of the Sports Secretary – P.I. Degree College Student Union

The Sports Secretary plays a vital role in promoting sportsmanship, organizing sports
activities, and fostering a culture of fitness and teamwork in the college. He/She shall carry
out the following responsibilities with dedication, discipline, and a strong sense of
leadership.

1. Coordinator of Sports Activities:

He/She shall serve as the chief student coordinator of all sports-related activities and
competitions in the college, ensuring smooth execution with discipline, energy, and
inclusivity.

2. Promoter of Sports Culture:

He/She shall actively encourage students to participate in both indoor and outdoor games,
cultivating an environment that values fitness, health, and competitive spirit.

3. Organizer of Events and Tournaments:


He/She shall plan, manage, and conduct intra-college and inter-college sports meets,
annual sports days, and friendly matches in collaboration with the Physical Education
Department and college administration.

4. Team Builder and Motivator:

He/She shall identify and bring together student talents to form college sports teams,
motivate them for regular practice, and prepare them for district, state, or university-level
tournaments.

5. Liaison Officer:

2. Organizer of Academic Events:
The Academic Secretary shall take the lead in organizing seminars, debates, quizzes,
workshops, guest lectures, and other knowledge-enhancing events that contribute to a

3. Academic Support and Guidance:


He/She shall provide guidance to students on academic-related matters such as course
selection, study strategies, time management, and exam preparation, and promote peer
learning.

4. Feedback Collection and Representation:


The Academic Secretary shall collect student feedback on teaching and academic
facilities, and present these insights respectfully to the Principal and academic committee
for improvement.

5. Promoting Academic Integrity:


He/She shall advocate for fair academic practices, discourage malpractice, and encourage
a culture of discipline, diligence, and ethical learning within the student body.

He/She shall assist in maintaining records of student participation in academic programs
