Turn Tasks on or off for users

As an administrator, you can turn Google Tasks on or off for people in your organization. People who have Tasks turned on can create and manage tasks in the following products:

  • Google Calendar
  • Google Chat, Gmail, or Google Docs editors using the Tasks sidebar
  • Docs, assigning tasks from checkbox items
  • Gmail, using the Tasks tab in chat spaces (for teams)
  • Google Assistant, through mobile and shared devices if enabled. Go Turn Search and Assistant on or off for users.

When you turn off Tasks in your organization

If you turn off Tasks in your organization, people won’t be able to access Tasks in Calendar, or in the sidebar in Gmail, Docs editors, or Chat. People can still receive task updates in Chat if someone else creates or updates a task in a space. Go to Create & assign tasks in Google Chat.

If you turn off Tasks, users can still view tasks created in Docs. They can interact with these tasks, but they can’t access any tasks assigned to them in their personal task list. Go to Assign Tasks from Google Docs.

If you turn off Tasks after a task was assigned to someone in your organization from a document or a Chat space, and then the task is deleted from the document, the deletion won’t sync to Tasks. If you turn on Tasks again, the task remains deleted in the document or Chat space, but it will be available in the personal task list of the person who assigned the task.

Control who uses Tasks in your organization

Before you begin: To turn a service on or off for certain users, put their accounts in an organizational unit (to control access by department) or add them to an access group (to allow access for users across or within departments).

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. In the Admin console, go to Menu and then Appsand thenGoogle Workspaceand thenTasks.

  3. Click Service status.
  4. To turn a service on or off for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

  5. (Optional) To turn a service on or off for an organizational unit:
    1. At the left, select the organizational unit.
    2. To change the Service status, select On or Off.
    3. Choose one:
      • If the Service status is set to Inherited and you want to keep the updated setting, even if the parent setting changes, click Override.
      • If the Service status is set to Overridden, either click Inherit to revert to the same setting as its parent, or click Save to keep the new setting, even if the parent setting changes.

  6. To turn on a service for a set of users across or within organizational units, select an access group. For details, go to Use groups to customize service access.

Note: If you turn Tasks on for a child organizational unit and turn it off for the top-level organizational unit, users in any child organizational units can't view the Tasks tab in a Chat space.

Changes can take up to 24 hours but typically happen more quickly. Learn more 
Updates to notifications on Assistant can take up to 30 days, both when you turn them on to enable notifications and also when you turn them off to disable them.
