Introduction

Responsible for data processing is Friendly LLC.

Friendly stores and processes all customer data within the framework of applicable laws such as the new FADP (CH) and the GDPR (EU).

Friendly does not lend or sell customer data, nor do we buy or rent personal data from third-party providers. It is important to us that data is used sparingly and clearly assigned to specific purposes.

In this privacy policy, you can find out what data we process when you

  • book a demo call or a trial subscription with us or
  • when you become one of our customers.

We will also explain to you how we protect, store, process and, if necessary, delete your data. And you will receive all the information you need to exercise your rights. In particular, you can ask us at any time what personal data we hold about you and you can notify us of your preferences regarding the processing of your data.

Data of our website visitors and newsletter subscribers

We host our website (friendly.ch) with Hostpoint in Switzerland.

We host our help pages (docs.friendly.ch) at Notion with processing by Cloudflare. Notion and Cloudflare are located in the US. We use data processing agreements to ensure that data protection is guaranteed and that the legal requirements are met. We endeavour to keep the amount of data shared with these providers as low as possible and are continuously working to switch to alternative providers in Switzerland where possible.

When you visit our website, we analyse your user behaviour. To do this, we use our own product Friendly Analytics, which enables web tracking without processing and storing personal data and without setting cookies. The data collected is completely anonymised and does not allow anyone to be identified.

We store all data collected and processed by Friendly Analytics in Switzerland with providers headquartered in Switzerland.

We also use Friendly Automate for marketing automation. To do this, we use cookies to identify you as a visitor to our website. We store your IP address, geolocalisation and usage data such as websites visits and clicks.

We collect as little data as possible. We analyse the usage data to improve our website and make it more attractive and user-friendly.

If you contact us via a form on our website or subscribe to our newsletter, we use Friendly Automate to save your form entries and your contact details such as your name and email address.

We only use this personal data for the clearly stated purposes, for example to get in touch with one another, to subscribe to our newsletter or to order a trial version of our products.

We store all data processed by Friendly Automate in Switzerland with providers headquartered in Switzerland. When we send you emails with Friendly Automate, we send them via Amazon AWS with locations in the EU.

Data of our leads

If you are interested in our products, you may book a demo call with us or a trial version of our software.

In these cases, we store your name and contact details. We use the booking platform Calendly, Friendly Automate, Zapier, Google Workspace and Notion.

When we exchange emails with you, we write them via Friendly Automate, Gmail or Helpscout. We process payment data that you may enter when booking a trial with Stripe.

We use data processing agreements to ensure that data protection is guaranteed and that the legal requirements are met. We endeavour to keep the amount of data shared with these providers as low as possible and are continuously working to switch to alternative providers in Switzerland where possible.

Data of our customers

When you become a customer of ours, we store your contact details, relevant preferences such as preferred language, contract details (subscriptions and terms) and payment details. We use Friendly Automate, Zapier, SignRequest, Google Workspace, Calendly, Stripe, Quaderno and Notion for this purpose.

When we exchange emails with you, we write them via Friendly Automate, Gmail or Helpscout.

We only collect the data that we need for mutual communication and for our contractual and tax obligations. And we only use the data for clearly recognisable purposes.

Calendly, Google, Helpscout, Zapier, SignRequest, Stripe and Notion are located in the US, Quaderno hosts partially in the US. We use data processing agreements to ensure that data protection is guaranteed and that the legal requirements are complied with. We endeavour to keep the amount of data shared with these providers as low as possible and are continuously working to switch to alternative providers in Switzerland where possible.

Data of our former customers

In accordance with the retention obligation in Switzerland, we store customer data for 10 years after the end of the contract. This is important in order to be able to trace business processes retrospectively and provide evidence of contracts, claims and decisions on request.

Under certain conditions, however, you have the option of requesting the early deletion of your personal data. Please contact us to arrange this.

Data security

We use technical and organisational measures (TOMs) to ensure that all data is stored securely and protected against unauthorised access.

We are certified in accordance with ISO 27 001 for information security and ISO 9 001 for quality and have been awarded the “swiss made software” and “swiss hosting” labels.

Our Data Protection Officer is Kathrin Schmid, PhD, in her function as Chief Information Security Officer (CISO) of Friendly.

She is registered with the Federal Data Protection and Information Commissioner FDPIC (Switzerland) as well as with the Irish Data Protection Commission DPC (EU) in this function.
