LETTER WRITING

I. A letter consists of Six Parts.


1. The Heading: - Consists of the Writer’s address and the date.

2. The Salutation:- The addressee (receiver) is addressed in a Formal or Informal way according
to the relationship.

3. The Body of the Letter: - It is the matter contained and can be brief or long according to the
nature of the letter. It should be in good English and neatly arranged in Paragraphs. It starts like
paragraphs, below the salutation.

4. The Subscription: - It is how the letter is ended.

5. The Signature: - It is the signature and name of the writer just below the Subscription.

6. The Superscription: - It is the address on the envelope.

II. Classification of Letters:-


Letters can broadly be classified into TWO

1. Personal Letters / Social Letters / Informal Letters.

2. Official Letters / Business Letters / Formal Letters.

1. Personal Letters / Social Letters / Informal Letters.

These are letters written to friends, colleagues, neighbours, relatives, and acquaintances
i.e (Persons known to us). Their style is therefore simple and natural. The subject matter of such
letters are usually exchange of news, views (opinion), greeting, making a request, giving an
apology (excuse) or enquiring we must however take care to observe the basic rules of writing
composition like spelling, grammar and proper punctuation.

1. Address of the Writer:

You would observe from the above layout that the address of the writer is placed at the
top right hand corner of the page, without mentioning your name. Each part of the address should
be in a separate line, which may be arranged in a block, with or without punctuations as given
below:-

2. Date of writing the letter:

The date is written leaving a space of one line after the last line of the address as shown
in the above layout. The date should be written giving the month in full and not abbreviated.
Date should be written as  20th July, 2017.
No full stop is required after but a comma after the month and a full stop after the year
2017 is required, if the address is punctuated, otherwise it can be omitted.
Abbreviated form of writing dates like 20/07/2017 or 20-07-2017 should be avoided.

3. The salutation or Greetings:

It is written on the left hand side of the page below the address and is followed by a
comma. This would differ, depending on your relationship with a person to whom you are
writing as:

5. Body composition of the letter:

This follows the opening sentence and like any composition it must be arranged logically,
with each paragraph communicating a specific thought.

6. Concluding sentence:

A few examples of such concluding sentences are given below.

7. Subscription or leave taking:

The letter ends with a subscription or leave taking which a polite leave taking.
It is written at the bottom on the right side of the letter as shown in the layout above.

 The first letter is in capital letter.


 There is comma at the end of the subscription.
 The different forms of subscription, depending to whom the letter is addressed.

8. Signature or Name of the writer:

The name or signature of the writer comes below the subscription. In personal letters one
usually writes his / her first name.

2. Official Letters / Business Letters / Formal Letters.

They are formal letters written to government agencies or company officials. The tone of
such letters should be formal and not sound too personal and intimate. It should be concise
(brief), with statement of relevant facts and be to the point. The subject of such letters could be
making an enquiry, writing an application for a job or seeking admission etc. they differ from a
personal letter in A. Layout (explains / describe)

4. The Salutation or Greetings:

It is written on the left hand side of the page below the address of the addressee and is
followed by a comma. It is placed about an inch below, but vertically in line with the above. The
salutation would differ according to the person addressed. The person could be a man, a woman
a business firm, a newspaper editor, or an unknown person. The appropriate salutation for them
is as given under:-

5. Subject or Business heading:

This is the subject matter of your letter in few words. This is indicated in the question
itself. It is written in the middle between the salutation and the opening sentence and properly
highlighted, to draw immediate attention.

6. Opening sentence of the letter:

It could be in reply to a previous communication, or have reference to the subject of the

7. Body Composition of the letter:

This follows the opening sentence and like any composition it must be arranged logically
with each paragraph communicating a specific thought maintain the official formal tone
throughout the letter.

8. Concluding sentence:

A few examples of such concluding sentences are given below:-

I would be grateful if my application is considered favourably.
I would request you to look into the matter and resolve it at the earliest.

 The first letter ‘Y’ is written in capital letter ‘Yours’

nutritious. My roommates are very friendly with me. My senior is very caring, and the other boy
is very accommodative. We live in an amicable, friendly environment.

I’m so proud of the Annual Day celebrations that we recently had that I want to share my

This was followed by a meaningful cultural programme. The highlight of the programme
was the kannada play ‘Huvi’ which had the message of protecting the environment. The
programme ended exactly at 8 p.m with the chief guest and others showering praises on all those
who took part in the various items. Our H.M was so happy that he declared a holiday for the next
day!

I have a great sense of satisfaction because I was the Master of Ceremonies. We have a
DVD of the whole programme and I will get it when I come down.

Sir,

I am an irate passenger belonging to Emmekere area and I would like to express my


anger at the inconvenience caused to the residents of Emmekere by the city bus service.

First, there are only two buses, which come to Emmekere, and neither keeps o its timing.
Very often buses do not play at all and the reason offered is that they are out of order. From the
starting point, if the bus is not there, the passengers have to walk for a minimum of 15 minutes to
get another bus or rickshaw. To add to the woe, when the buses run late, if passengers seek an
explanation, they are treated very rudely. In addition, as if to punish them, the driver races
through, without stopping at proper stops!

We are fed up with the existing condition and our complaints have been ignored. As the
last resort, I voice my anger in this column hoping that immediate action will be taken.
