elcome to the lImS Buyer'S GuIde, a publication of the Laboratory Informatics Institute, Inc. What exactly IS a LIMS or LIS anyway? Do I need one? What is available and how do I compare? What about an RFI/RFQ/RFP? These are questions laboratory professionals like yourself typically ponder upon finding themselves charged with the mission of finding software for their lab. It can be a daunting proposition, and there doesnt seem to be any objective reference to help with it alluntil now! Last year's LIMS Buyer's Guide helped thousands find what they needed, and this year we've added more vendors, updated information and added links to video demonstrations of their systems. All so you, the buyer, can have all the real and accurate information you need to make decisions for your lab.
The LIMS Buyer's Guide (LBG) is different from any buyers guide that has ever come before, in that it includes pricing! For the first time you have real information as well as pricing so you can quickly move to pursue only the vendors and products that make sense for you and your lab. means prices have to go down as LIMS become commodities that labs can compare in apples to apples fashion. The Laboratory Informatics Institute, Inc., is right in the forefront of that trend, so ANY lab, regardless of size or type, can have a LIMS. And not only that, but the new edition of the LBG now also includes links to any publicly available video demonstrations. We think these are important in helping you make up your mind about LIMS. In fact, we believe they are important enough that we have listed each vendor according to how many they have. So as you scroll or leaf through each vendor profile, remember those at the beginning have the most links to videos, so be sure to click and view to see their products in action. As you get towards the last listings, any product information will be pretty much what you read. You may know it as a LIMS (Laboratory Information Management System) or as a LIS (Laboratory Information Systemmore commonly used in medical/clinical contexts) or maybe an LMS (Laboratory Management System). Whatever you call it, it is a way to manage your labs data. Well call it all LIMS for the sake of standards and simplicity. When you get right down to it, all labs are in the business of producing reports, datainformation. Everything else is just a means to that central

raison detre. So in a very real sense, information management is the core of any lab. In a world where we use the very latest technology for everything else (I-phones/pads, HD and 3-D TV, motion-controlled HD video games, the list is endless!), why do so many labs still rely on hand-written notes and spreadsheets? The same lab that spends $100,000 on a sophisticated analytical instrument hesitates when it comes to purchasing a LIMS. Why? Primarily price priorities. Since LIMS are becoming more commoditized, driving down prices, you dont have to make that tough decision of one or the other anymore. Technology has improved and smaller LIMS companies have emerged, along with affordable SaaS online subscription models that are trustworthy, so that any lab can put their resources where they belongin information and its management. The LIMS Buyers Guide is here to help you wade through the mire. Use the tables, information and vendor profiles to get a feel for whats out there and what may make sense for you. ell, take heart. We have compiled a shortlist of the major playersand some minor onesto help you make some initial comparisons. Youll need to size up your labs needs informatics-wise as well, in order to figure out which of them are worth investigating further. You can do that by using the Lab Questionnaire (LQ) included in the LIMSpec (see More LIMS Resources and Help). LIMS vary a great deal in a number of ways. Of course your labs requirements in terms of the types of analysis you do, reporting and data sharing constraints, instrument interfacing, barcoding, QA and on and on all are very important factors. But there are other factors. Price is certainly one (although it is as well to remember that value is ultimately what you seek rather than just a low price). Some other considerations that are just as important:
Should we purchase licenses or rent through subscription? does it need to be onsite or is a SaaS (Software as a Service) hosted option better for us? Is a modular or complete system better for us? What is the best licensing/rental scheme for us? Site? Named User? Concurrent User? CPU? Workstations? What about the company? Can I trust them? Are they qualified? This didnt used to be an option. But much like the recent trend toward leasing cars rather than finding a large amount of money

to it as if you had purchased licenses, while others may not give you the access you seek. Check with the vendor to make sure. Ask whether you get to keep an image of the database should you decide to end your subscription. A small but growing number of LIMS vendors will actually host your system on their servers for you, or offer it cloud-hosted. When software is provided on the Internet for you rather than having it loaded on your workstation or server, that is called SaaS, or Software as a Service. Most of us already make copious use of SaaS whenever we Google something. Cloudhosted SaaS is characterized by multiples of servers that are load balanced so that resources are strategically used, and virtualized servers are employed to create discrete custom environments. To decide if SaaS is for you or if you should go the traditional route, here are some points to consider: It department. If you have a small or overworked IT department, or none at all, then it may well make sense to let the LIMS provider take care of those functions, rather than invest in additional hardware, personnel and/or other resources just to support your LIMS. If you are a large company with an extensive and capable IT department, then they may prefer the LIMS and its database to reside physically on premises. Security. This is often cited as a reason to keep a LIMS on lab premises. The truth is, if the vendor uses a SAS-70 or SAS 70 Type II data center to host, with GxP SOPs, your system

select from to constitute your completed system, while others come complete with all the functionality available. Those whose LIMS are modular espouse the benefit of only paying for the functionality you need. Those whose LIMS come as a single complete package say labs wont need to pay extra for any addons. Whos right? Well, it depends. If buying modules means you need one module for sample tracking and another for data entry and still another to generate reports, etc.then it may not be long before you have run up a sizable bill just to get basic standard functionality. That is especially true if the modules require hourly services to implement. If the modules tend to be industry-specific and pretty much complete for each, then they may make sense. The bottom line isthe bottom line. Make sure you compare apples to apples and identify all costs associated with getting all the functionality you need. Its important to be clear when comparing license fees. One distinction that should be made is the difference between named users and concurrent users. If a vendor charges by named users, then if you have 30 people who will ever use the LIMS at any time you will need 30 licenses. If the vendor charges by concurrent users, then you only need enough licenses to cover the number of users who are likely to be on the system at the same time. Typically in a lab with 30 staff, you might need a maximum of 20 concurrent user licenses. This is reduced even further if you have sites in other parts of the world whose work days are different.
The bottom line is...the bottom line. Make sure you compare apples to apples and identify all costs associated with getting all the functionality you need.

To be sure you assess correctly, use the LIMSpec forms that are included in the More LIMS Resources and Help section of this Buyers Guide. The System Questionnaire (SQ) includes an exhaustive collection of questions to ask a vendor about the system itself, neatly categorized by general functional area. It also contains a Vendor Questionnaire (VQ) which does the same thing with regard to the vendor company. The following are the functions you should expect to see demonstrated in a full-function LIMS.

Audit trail: The LIMS keeps track of all user activity and/or targeted activity. This is essential in highly regulated labs like those regulated by the EPA or subject to 21

or photographic. You should be able to enter them directly off of instruments or by hand, choose whether they appear on reports, modify them if authorized, flag for review, etc. data Warehousing and mining: You may need to access historical data and perhaps identify and chart trends. It should be an easy and painless operation, and not require you to build SQL queries! document management: Management of methods, SOPs, MSDSs and other documents the lab needs to track and access should be a part of todays LIMS standard functions as well. In many labs it is also important that the LIMS control versioning and a review process including use of electronic signatures. electronic data exchange: The transfer of information between the LIMS and outside entities is a standard function you should expect. This includes instrument data (one or both directions), remote sample collection data, PDA/Tablet data, Excel import and export, interactions with other software or databases (e.g. accounting, ERP) and other file transfers. event-driven Actions: The LIMS should be able to take defined actions upon specified events. For instance, it may email someone to approve a set of results upon completion of data entry, or notify through an alert system when an analyst has samples that have come in and are ready to be processed. You should be able to configure your own in addition to any defaults.

IntelligentIf you enter a sample type of bread it shouldnt ask you how many liters Additionally, it should support your ways of processing samples: by lot, project, case, etc. or as single samples or specimens. multiple locations/departments: The defining of different locations and/or departments should be supported. You should have the ability to separate access between them strategically. regulatory compliance: There are quite a few regulations and standards that apply to various types of labs, and youll need to make sure the LIMS supports the ones important to you. Although it is always the lab and its practices that are regulated, the LIMS must support that compliance. reporting: At the end of the day this is the whole point of a lab. You should be able to generate internal, informal reports as well as formal COAs, etc. They should be able to be generated automatically, semi-automatically or on

trending/control charting: Although Statistical Process Control (SPC) software is specifically designed to provide you with intense graphing and trending capabilities, a LIMS should offer you
standard control charting and trending functionality. If not, see if it can come bundled with an SPC or interface with one in a costeffective manner. Version control: GxP and regulated environments require that you version not only documents, but tests/methods, analytes,

complaints and corrective Actions: Some LIMS come equipped with a built-in Help Desk or Issue Management facility, which is a definite benefit for labs who deal with customers, whether internal or external. customer relationship management (crm): LIMS-based CRM especially helps in billing and inventory control, as well as just keeping track of which samples belong to whom.
Nowadays any good quality LIMS is flexible enough to let you decide what your workflow is. In fact, you should be able to set up as many and different workflows as you like, change them whenever it suits you... and choose not to follow them if necessary.
electronic laboratory Notebook (elN): As LIMS and LIS have merged, many include an ELN. If so, you can avoid the need for a 3rd party application.

ScAdA Interfacing: If you use SCADA (Supervisory Control And Data Acquisition), double-check that (a) the LIMS has the capability and (b) the vendor and/or consultant has the expertise to link them up. Stability management: If you do stability studies, check that the LIMS supports it, as not all of them do. Web Access: Is the LIMS web browser based or web enabled? If you would like it to be able to support hyperlinks and web data exchange, be accessible from remote sites or home, etc., make sure you choose one that is comfortable with the web. Web Portal: Probably the most popular feature we at the LIMSinstitute are seeing labs ask for today is a client-facing web portal. Customers, whether internal or external, are demanding the functionality they see everywhere around them: the ability to log in to a web page and submit analysis requests, see reports and/or current status of their samples. OK, you have an idea about things to look for in the company and its products. What you probably dont know is what the price tag is likely to be. Heck, most of us dont even know how LIMS vendors price their products or what is involved, much less how much they actually cost! Well, its time to shed some light on all of that. Heres the deal:

Subscriptions These include two possible items: 1. Rented or SaaS LIMS 2. Annual Maintenance, Support & Warranty (MSW) The LIMS rental is equivalent to the license, but isnt a lump sum you have to come up with up front. These can run anywhere from a couple of hundred dollars a month for a single user up to maybe $2000 or so for 20+ users. Just like purchased licenses, however, these can be priced by site, concurrent or named users, etc. so make sure you try your best to compare like with like or at least factor these considerations in as you shop. And your rental may be annual instead of monthly. In pretty much all cases it does include all IT services and maintenance, support and warranty, including updates, at a specified level. The second type of subscription cost is annual MSW, and you need to factor that into your budgeting if you are buying LIMS licenses.

LabLynx, Inc. is a privately owned, funded and managed company, based in Atlanta (Smyrna), GA. Their flagship product is the ELab Laboratory Information Management System (LIMS), which is web browser-based and highly configurable to individual laboratory needs. LabLynx introduced the worlds first true web browser-based LIMS, at Pittcon in 1997, and have continued to leverage vanguard technology trends. Today LabLynx offers its ELab LIMS as the cloud-hosted webLIMS subscription as well as by purchased license. LabLynx personnel include IT professionals and laboratory professionals, with experience as chemists, lab project managers, laboratory QA/QC officers, commercial laboratory managers, and chemical and process engineers. LabLynx has been a leader in establishing the paradigm of the LIMS as a total laboratory solution, rather than just a means to track samples. saMPLe resuLts eNtry This can be done either by instrument interface or manually, with definable limits, calculations, etc. All character types are supported, and you can even enter comments or load pictures.
saMPLe aNaLysis The tests and paths for samples are all assignable in ELab, and results either entered manually or directly from instruments. View them, report them and/or perform calculations, export to Excel, add documents/pictures etc. Its all part of the service. Qa/Qc ELab supports all QA/QC functions. You can either create templates to apply as desired, or you can create QC samples on an ad hoc basis. Includes out-of-limit flagging, formulas, charting/trending and more. iNstruMeNt iNterFaciNg ELab readily interfaces with any instrument that produces a text file. The advantages are clear: vast savings in time and elimination of the potential for error in transcription.
caLcuLatioNs Perform a variety of types of calculations in ELab, including standard arithmetic plus Log base 10, Exponent, and Absolute Value. eLectroNic Data exchaNge This is supported in the system in many forms, from instrument results upload to integration with third party software and electronic reporting to systems like eLexnet or other government-mandated protocols, or ERP, accounting or other systems.
treNDiNg/coNtroL chartiNg Any data are easily exported to Excel for charting of trends, from QA/QC limit performance to instrument maintenance history, personnel training data etc. Or you can use ELab own control charting function, whichever suits your needs best!

FaxiNg & eMaiLiNg rePorts Any reports generated in ELab may be printed out and faxed, or exported in any of a variety of formats. And you can use scheduled or event-based triggers to automate if you like. auDit traiLs ELab provides audit trail capabilities to meet any security or regulatory standards. Any modifications made to information are stamped with that users identification and the system level date and time. Users are required to enter a reason for result changes, and the system captures the newly entered result as well asthe edited result. Audit trail can be full or targeted. chaiN oF custoDy Chain of Custody is of course an essential part of many labs. ELab fully supports it to NELAC/NELAP standards. Samples and any other items are tracked from the time they are logged in to disposal, and you can print a COC any time. DocuMeNt MaNageMeNt The Document Manager functionality in ELab lets you upload and retrieve documents of any kind for associating with samples, results, personnel, customers, instrument maintenance tracking or other items/functions, or to print out, export or email, etc. Versioning is forced where required.

iNveNtory You can organize and track any items in the LIMS, grouping them according to specific criteria (origin, supplier, assigned tests, expiry date, etc.) if you like, and keep track of their storage and usage. And when stacks are low, ELab lets you know. traiNiNg trackiNg The Training Tracking module in ELab makes sure you stay abreast of completed courses and certifications for all of your personnel, and alerts you when additional training is required to maintain certifications. Any associated documents may be uploaded into the system for easy access and organization. eveNt DriveN aLerts ELab supports any number of alert definitions, triggered according to your requirements. They may also trigger events such as emails based on user-defined criteria.

suPPort For iNDustry staNDarD coMPLiaNce iNitiatives: ascLD, NeLac, 21 cFr Part 11, cLia, gaLP/gaMP, hL7, hiPaa, section 508, iso17025, astM, ieee, acs... ELab is currently deployed in many different laboratory environments, including governmental labs which involve sensitive data, like the US Customs Department, State Departments of Agriculture, forensic labs and more. All known regulatory compliance standards are supported by the LabLynx ELab LIMS suite, including: 1. HL7: For this standard we use a translation table that any data exported to HL7-specific entities must pass through. 2. 21 CFR Part 11 and 40 CFR 3: ELab meets FDA and EPA requirements in that electronic signatures and documents are stored in the system database and only accessible by authorized personnel based on login. LabVantage was created from the merger of three companies in the laboratory software marketplace. The first of these companies, Laboratory Microsystems, was formed in 1981, and the rest joined in 1997. LabVantage announced the availability of the last version SAPPHIRE R5.1, in February 2010, incorporating critical quality management, biobanking, and validation enhancements and further extending SAPPHIREs functionality to support operations in the clinical space. Abstract
Originally called the Computational Proteomics Analysis System (CPAS), LabKey Server, LabKeys LIMS product, was written for the Computational Proteomics Lab at the Fred Hutchinson Cancer Research Center, a well-known cancer research center in Seattle, Washington. It is a biomedical research LIMS offered as open source, so it is free. Its strengths are as a data repository for all types of biomedical data, including mass spectrometry, flow cytometry, microarray, microplate, ELISpot, ELISA, NAb and observational study information, and for studies" (Wikipedia: http://en.wikipedia.org/wiki/labKey_Server). It is still used at FHCRC, and also by several AIDS research programs and university labs. LabKey server is written in JavaScript, HTML and XML and is developed collaboratively using standard development tools by users, in accordance with Apache Software Licensing. It can be downloaded to your server or used as a SaaS cloud-hosted LIMS (LabKey Online). In the latter instance, a limited version is free (up to 5GB storage, 50GB monthly data transfer) but you will have to pay a subscription fee if you need more resources than that. Its a beta version at present so there is no Service Level Agreement (SLA). The various workflows in your laboratory can be configured in Matrix Gemini, providing a user interface with linked screens that existing users will find familiar. The workflows can contain only relevant active features, and there is no limit to how many may be created. Terminology used in a system is often a key element in userfriendliness. The translation table in Matrix LIMS is amazingly simple using an A = B approach. A is the term the system uses, B is the term that you, the customer, want to use. This can be English to English translation or English to another language translation. Result: a userfriendly and relevant system. Configuration in Matrix LIMS also enhances security. Menus, designed for each user/user group, ensure that each screen in the system is absolutely relevant to the current user and their access level. A user does not need to know other screens on the system even exist. What about users continually making changes to the system? Not a problem, as access to the configuration tools can also be precisely controlled and the system can be frozen when configuration is complete by deactivating the tools. They are only re-activated when changes are needed as new requirements surface. This provides the best of both worldsa highly configurable system where configuration changes can be controlled and monitored. When the system is frozen, the complete definition of each screen can be printed as a record suitable for showing
quality personnel and auditors. Not only does this satisfy auditors but it will be uniquely impressive. Not something they have seen before! There is a further bonus for the auditorseach screen is version controlled and all changes are tracked with the identity of the user making the change, time and date as a minimum. A complete history of the system is maintained, leading to confidence at audits. A system configuration in Matrix LIMS is stored with the database and hence upgrades do not affect the system appearance and existing data. This is a real benefit compared to systems where custom code has been introduced, since the LIMS can be upgraded without any concerns about current configuration. Available training enables users to configure their own systems, with those user configurations fully supported by Autoscribe. Should users require Autoscribe to modify an existing screen or create a new one, for example, the screen can be emailed as an attachment, saving cost and time. The Matrix configuration tools offer system flexibility to meet both existing and future needs as business demands changean important consideration when measured against systems that require vendor development for additional configuration. Other benefits include fast implementation, low cost of ownership and in-built future-proofing.

SOME CUSTOMER COMMENTS: The configuration tools allowed our own staff to develop a Matrix configuration for managing customer enquiries, an urgent requirement at the time. This saved the company money as it was an extension to the existing Matrix LIMS rather than needing to purchase another system. The configuration tools allowed the development of over 50 different sample registration screens required to meet the needs of multiple sites dealing with a complex product mix. Bytewize AB is was founded in 1989 in Vsters, Sweden. The company was started as an IT service company, and work on its LIMS, O3 LIMS, was begun in 1999/2000. O3 LIMS was developed in close cooperation with a laboratory. Analyses, objects, customers and tests are highly customizable. The basic specification called for a LIMS system that was platform independent and possible to maintain without high costs. It is designed for the Linux OS, but can be run on any Unix environment, including Mac OS/X Server, and can be adapted to Microsoft Windows. MySQL Enterprise database is the preferred engine for optimal stability, compatibility and speed. Since it is web based, most of the support and maintenance can be done remotely.

He works with John Jones in developing business initiatives for both entities, and produces all training, marketing and informational materials, both written and multimedia. In addition, he has been the liaison for information and support for the last five years for anyone seeking information at either company as well as for all company clients.
Alan comes from a journalistic background, with a BS in Mass Communications: Broadcast Journalism from Virginia Commonwealth University. Although editor of his high school and college newspapers and a talented writer, even being selected for a coveted stint as intern with the Virginian-Pilot daily city newspaper, Alan enjoyed the technical aspects of broadcast journalism and spent several years at television stations in production doing camera, editing, lighting and audio for local news and talk shows. He later started a small video production company in the UK, producing commercial training and promotional videos. Alan then worked on the massive retuning project for the introduction of the UKs fifth commercial TV network, Channel 5, where he went out into the field, then led a team and finally served at the project headquarters, providing coordination and technical support. After the project, Alan was retained by Granada, UK, a giant media company that had contracted the project. All this technical experience made for a natural transition to IT services when he returned to the US in 2000. By 2006, his combination of technical skills and literacy, coupled with an easy interpersonal manner and get it done attitude meant he was the perfect communications and content candidate for LabLynx (the Laboratory Informatics Institute, Inc. had not yet been established). He has spent the last five years learning all about LIMS and labs both first-hand and through the vast experience and knowledge of President John Jones and the many other highly qualified staffand clientshe has worked with. The unique perspective of working as a neutral advocate with the Laboratory Informatics Institute has meant that he has been able to interact with people from all kinds of labs and industries, as well as vendors and consultants, gaining valuable knowledge and experience he passes on in this guide and other materials.
