Policies
Refund and attendance guidelines
We have various policies in place for their music, personal & cultural and professional development workshops,
seminars and programs. The general guideline applies to all non-credit courses unless specific program guidelines are
outlined below.

1. Payment of tuition
Full payment is due at registration for all non-credit courses. There is no reduction in tuition for students who join the
class late or miss class(es). Payment methods vary by course, but can include cash, cheque, debit, credit card
(MasterCard, Visa, American Express), online and company purchase order.

The professional development certificate programs do allow for multiple payment options, usually one payment at the
start and one mid-way through the program. Details are written on the registration forms for each program.

For Children's camps, tax receipts are given to parents/guardians during the last week of the child's camp. The
Government of Canada has a link to their regulations as to how receipts can be used for tax purposes. Please check

2. Refunds and withdrawal
Refunds, or pro-rated refunds, aren't provided to students who miss one or more classes.

2.1 Leisure Learning and Conservatory courses

The following policies will apply to all adult non-credit courses offered through the Personal and Cultural Enrichment
Division, including but not limited to:

Leisure Learning courses (excluding Design Works Camps--see Design Works Camp refund policy below)
Conservatory courses (excluding Summer Music Camps--see Music Camp refund policy)

Full payment is due at registration. There is no reduction in tuition for students who join the class late or miss class(es).
Non-attendance does not constitute official withdrawal. A full refund of the program tuition fee (minus a 15% processing
fee for Leisure Learning courses or a $25 processing fee for Conservatory courses) will be issued if requested five
business days prior to the beginning of the class. This can be done by phone or in person, but must be confirmed in
writing or by email to the College of Extended Learning in Fredericton ([email protected] (mailto:[email protected])). Courses
are conditional on enrolment. A 100% refund (no processing fee) is issued in the event that a course is cancelled. (Please
note: Due to the nature of these courses, courses may be cancelled at short notice.)

Medical Circumstance
For students who are required to discontinue their course/program for medical reasons, a pro-rated amount of the tuition
fee will be refunded to the portion of the course/program not yet completed after the withdrawal request is received. All
medical requests must be made in writing and be fully supported and documented by a practicing medical physician
with the Medical Association. (See UNB Undergraduate Calendar for specific allowable medical reasons.)

NOTE: For students 15 years and older, HST will be charged.

All Music and French courses are exempt from HST charges.

2.2 Design Works Camps

Children may switch camps at any time before a camp begins, provided an alternative camp space is available.
Withdrawals made before June 1st will receive a full refund minus a $50 processing fee.
Withdrawals made after June 1st will receive a 50% refund.
There are no refunds for withdrawals made five business days, before the beginning of a camp, except for medical
reasons. All medical requests must be made in writing and be fully supported and documented by a practicing
physician with the Medical Association.

Full payment is due at registration. There is no reduction in tuition for students who join a camp late or miss class(es).
Non-attendance does not constitute official withdrawal. Withdrawals must be done in person, by email or in writing to
the College of Extended Learning in Fredericton. Camps are conditional on enrollment. A full refund is issued in the
event that a camp is cancelled.

Medical Circumstance
For students who are required to discontinue their camp program for medical reasons, a pro-rated amount of the tuition
fee will be refunded to the portion of the camp not yet completed after the withdrawal request is received. All medical
requests must be made in writing and be fully supported and documented by a practicing medical physician with the
Medical Association. (See UNB Undergraduate Calendar for specific allowable medical reasons.)

NOTE: For students 15 years and older, HST will be charged.

2.3 Music offerings and camps

Full fee will be refunded if application is unsuccessful.


Withdrawals made more than 3 weeks (21 days) before camp start date: full refund minus $25 administration fee.
Withdrawals made 21 days or less before camp start date: 50% refund.
Withdrawal on camp start date or after: no refunds except for medical reasons.
All medical requests must be made in writing and be fully supported and documented by a practicing medical
physician with the Medical Association.

2.4 Professional development

2.4.1 Seminars/Workshops
Participants wishing to withdraw from a seminar must do so in person or in writing to UNB's College of Extended
Learning.
A 100% refund of the tuition fee less a $50 administration fee will be issued if requested 15 days prior to the start of
the seminar. The tuition fee is payable and non-refundable 14 days prior to the start of the seminar.
Participant substitutions may be made at any point prior to the start date of the seminar.
For seminars that require advance readings and/or assessment preparation, payment must be received before
material can be sent to you.
Cost for non-returned resource materials and/or completed assessment tools are non-refundable.
The University reserves the right to cancel any seminar.

2.4.2 Schulich certificate programs


A full refund will be issued for written cancellations received a minimum of 21 days before the program start date.
Written cancellations received after this date will incur an administration charge of $800.
Non-attendance or withdrawal after program start date will incur a full program fee.

2.4.3 CEL certificate programs


Participants wishing to withdraw from a seminar must do so in person or in writing to UNB's College of Extended
Learning.
A 100% refund of the tuition fee less a $50 administrative fee will be issued if requested 15 days prior to the start of
the seminar.
Participant substitutions may be made at any point prior to the start date of the seminar.
For seminars that require advance readings and/or assessment preparation, payment must be received before
material can be sent to you.
Cost for non-returned resource materials and/or completed assessment tools are non-refundable. The university
reserves the right to cancel any seminar.

2.4.4 CEL Online Certificate Programs


Requests to withdraw from any of the below programs can be done through email to the program lead

Withdrawal and Refund Policy per Program

Withdrawal prior to accessing online content in first course – refund of full certificate fee paid, less $100
administration fee.
Withdrawal after accessing content in first course only – refund of full certificate paid, less $100 administration fee
and first course tuition fee.
Withdrawal after first course – no refund

Withdrawal and Refund Policy Per Course (includes CRSP Prep Course)

Withdrawal prior to accessing online content – refund of full course fee paid less $50 administration fee
Withdrawal after accessing content – no refund

Prior Learning Assessment (PLA)

No refund under any circumstance

2.5 Open Entry Online Credit Courses

Open Entry Online Credit Course withdrawals and refunds are governed, in general, by UNB's University-Wide
Academic Regulations
(https://www.unb.ca/academics/calendar/undergraduate/current/regulations/universitywideacademicregulations/index.html),
as well as the following specific rules:

Students wishing to drop or withdraw from an Open Entry Credit course must fill out and submit the Complete
Course & Program Withdrawal Form (https://es.unb.ca/forms/complete-withdraw/).
Students are not to use UNB's internal Student Planning & Registration system to drop/withdraw from an Open
Entry Credit Course as the withdrawal does not get processed correctly.
Refer to the charts below (0-5 credit hour courses or 6 credit hour courses) for notations on your academic record
and refund amounts based on when you submit the Complete Course & Program Withdrawal Form
(https://es.unb.ca/forms/complete-withdraw/).
In all cases, the Complete Course & Program Withdrawal Form (https://idp.unb.ca/cas/login?
service=https%3a%2f%2fes.unb.ca%2fforms%2fcomplete-withdraw%2f) is required at least 10 business days (or 2
weeks) or more before your official course end date and will not be processed if:
an extension has been granted;
a final exam has been written;
a final grade has been submitted; and/or
the official end date of the course has passed.
If you have medical or compassionate grounds you may contact the Student Advocate
(https://unbcloud.sharepoint.com/sites/AcademicSuccess/SitePages/Academic-Issues.aspx) to discuss an academic
appeal for grade relief.
The refund is based on tuition minus any non-refundable fees. The $150 Online Fee is non-refundable/non-
transferable.

0-5 CREDIT HOUR COURSES


The following notations on your academic record and refund amounts will apply based on when you submit the
Complete Course & Program Withdrawal Form (https://es.unb.ca/forms/complete-withdraw/).

Dropping a course within first 10 days from the effective course start date*:
Will result in the course being deleted from your academic record.
You will be eligible for a 100% refund of tuition.**

Dropping a course from Day 11 - Day 30 from the effective course start date*:
Will result in the course being deleted from your academic record.
You will be eligible for an 80% refund of tuition.**

Withdrawing from a course between Day 31 - Day 120 (1 to 4 months) from the effective course start date*:
Will result in the course being shown as “W” on the transcript and will carry no academic penalty.
You will not be eligible for a refund.

Withdrawing from a course on or after Day 121 (4 months on - note processing dates) from the effective course
start date*:
Will result in the course being recorded as “WF” on the transcript and a grade of zero (0) will be carried into
the calculation of the GPA.
The Complete Course & Program Withdrawal Form (https://idp.unb.ca/cas/login?
service=https%3a%2f%2fes.unb.ca%2fforms%2fcomplete-withdraw%2f) is required at least 10 business days
(or 2 weeks) or more before your official course end date.
You will not be eligible for a refund.

*All dates are based on the Effective Start Date as noted on your UNB Online Introductory Letter.
**Refund is based on tuition minus any non-refundable fees. The $150 Online Fee is non-refundable/non-transferable.
6 CREDIT HOUR COURSES

The following notations on your academic record and refund amounts will apply based on when you submit the
Complete Course & Program Withdrawal Form (https://es.unb.ca/forms/complete-withdraw/).

Dropping a course within first 30 days from the effective course start date*:
Will result in the course being deleted from your academic record.
You will be eligible for a 100% refund of tuition.**

Dropping a course from Day 31 - Day 60 from the effective course start date*:
Will result in the course being deleted from your academic record.
You will be eligible for an 80% refund of tuition.**

Withdrawing from a course between Day 61 - Day 240 (2 to 8 months) from the effective course start date*:
Will result in the course being shown as “W” on the transcript and will carry no academic penalty.
You will not be eligible for a refund.

Withdrawing from a course on or after Day 240 (8 months on) from the effective course start date*:
Will result in the course being recorded as “WF” on the transcript and a grade of zero (0) will be carried into
the calculation of the GPA.

3. Discounts
Discounts, or a reduced amount of tuition owed by a student, are only offered in limited circumstances.

3.1 Music offerings and camps

A limited number of scholarships are available for students in financial need. Parents wishing to obtain a scholarship for
a student must apply in writing to the camp director, attaching a letter stating need with the completed application form.
Evaluations will be made following the camp deadline.
Families that send two or more children to a summer camp may be entitled to a family discount. Normally, the first child
is regular tuition, the second is 5 per cent (5%) off, the third is 10 per cent (10%), and four or more is 15 per cent (15%)
each.

3.2 Professional development

Discounts are given to companies who enroll three or more students at a given time for a single course.

4. Participant substitution/transfer between courses


Participants may be substituted or transferred from one non-credit course to another if they meet the criteria for
acceptance and if the change doesn't affect the decision to cancel the course. The student may be responsible to pay
any additional fees that are related to the change.

4.1 Professional development

4.1.1 Seminar/workshop
Participant substitutions may be made at any point prior to the start date of the seminar.

4.1.2 Schulich certificate programs


Participant substitutions aren't available for certificate programs that are comprised of several modules. If you are
unable to attend the program you may transfer to the next session, subject to the 21-day written notification requirement
or your organization may name a replacement candidate. Only one module transfer to another session will be
permitted (subject to space availability) without penalty. Each subsequent transfer request has a $200 administration
fee.

5. Attendance and participation


Guideline on class attendance states:

1. Students are expected to attend all classes, laboratories, tutorials, or other class meetings
2. Students are also expected to complete all assignments

Students who don't attend class or complete necessary assignments or class requirements will be considered as “non-
participating”. Grades or certificate of completion may not be issued if course requirements aren't met.

6. Professional program offences

7. Absence from class(es)


Most class absences should be worked out between the student and the team lead for the program. Because of the
compressed nature of CEL workshops/classes, absence from more than one class may be considered unacceptable for
course completion and a student may be required to drop the class.

Medical

In a case where a student misses a workshop or seminar for medical reasons, a note of leave may be requested for
continuation in the next module or a refund may be issued.

Please refer to section 2 refund and withdrawal guideline.

7.1 Schulich certificate programs

If a student misses a class for any reason, he/she can attend another offering of that module at any location in Canada
that offers the Schulich courses free of charge. The costs related to attending that seminar are at the discretion of the
student (travel, lodging, etc.).

8. Course cancellations
Courses may be cancelled if the minimum enrolment is not met or for various other administrative problems. In the event
a cancellation should occur, notice will be given to each participant as quickly as possible.

A full refund will be issued to the participant, or the participant’s payment will be retained by CEL and enrolment in the
next offering on the same topic selected by the individual.

9. Parking regulations
Parking on campus is permitted in designated areas only (visitor’s parking) but is free after 4:00 p.m. and on the
weekends. Daily parking passes for the UNB campus are available at UNB Security, located on the bottom floor of the
Wu Centre (6 Duffie Drive), at a cost of $4.00 per day.

10. Inclement weather cancellation policy


If the university is closed due to inclement weather, non-credit classes will also be cancelled that day. Closure
notifications are found at www.unb.ca (https://www.unb.ca).

Course participants will be notified of the date and time of the rescheduled classes at the next class or by telephone/e-
mail.
