Thinking and Acting like a Manager


A manager’s career is extremely interesting and can be very fulfilling. A manager is also
significantly rewarded for competence. Most of us then inspire to become one. We ask “Who is a
manager and what is his work?”
However, understanding what a manager does and how he does things is important, not just for
personal reasons, but also for career advancement. A manager in an organization contributes to
economic performance and wealth in society. Wealth creation is an essential and important aspect of
management.
Definition of Management
Management is the process of using resources in order to reach organizational goals. It is a task
carried out by individuals in organizations called managers. They mobilize resources such as money, raw
materials, capital and human resources to achieve goals that usually relate to (but not limited by) profit,
customer service and corporate social responsibility.
 Among all the resources used by managers, human resources are the most important.
 Managers guide, support, and monitor the work efforts and performance of people. Managers
also ensure the efficient and effective use of other resources such as raw materials, capital and
monetary resources to reach organizational goals.
 Efficiency is the ability to use resources to generate maximum output from every unit of
resource input used.
 Effectiveness is the ability to use resources so as to get things done as intended.
 Efficiency is doing things right while effectiveness is doing the right things.
 Good managers are both efficient and effective.

Functions of Management
As a process, management consist of related
activities of planning, organizing, influencing
(leading), and controlling. They can be
distinguished conceptually but are integrally
related in practice.

Management Levels
 A typical organization is organized by section, department or division.
 First level, Supervisory level of management – it supervises a small work group (such as a section)
composed of non-managerial workers.
 Middle management is responsible for departments or divisions. They take care of several work
groups.
 Top management is in charge of the whole organization or at least one of its larger parts.

Management Skills
 A skill is the ability to do something consistent with a desired levels of performance.
 There are three basic skills all manager should have.
o Technical skills are skills that enable one to carry out tasks with proficiency.
o Human skills relate to one’s ability to work with people and to bring out the best in them.
o Conceptual skills pertain to one’s ability to see the organization as a whole and consist of
diagnosing the cause and effect relationships among the many variables at work in the
organization.
 The performance of a manager depends on how well he does the management functions using skills
appropriate to his level. Managing, as a task, is dynamic.

Management Roles
 Roles that managers play are varied. Depending on the needs of the situation, a manager
can be an entrepreneur, a disturbance handler, a resource allocator, and a negotiator.
 Roles of being an entrepreneur, disturbance handler, resource allocator and negotiator are
decisional roles. They are roles that pertains to the ways managers pursue opportunities
and solve problems facing the organization.
 When managers, obtain and transmit information by being a monitor, a disseminator, and a
spokesperson, he plays informational roles.
 By acting as a figurehead, a leader, and a liaison, he plays interpersonal roles.
 By these roles, the manager interacts with various entities in the pursuit of organizational
goals.

Timeline Historical Development in Management Thought


Circa 3000 B.C.  Practice of management by ancient civilizations such as the Romans and the
Egyptians.
1870  The practice of scientific management that studied workers’ performance of
jobs, provisions of training, and fair compensation.
1930s  The emergence of the Behavioral Approach, which sought to increase
production through understanding people.
1940s  The emergence of the Management Science Approach, which dealt with
management problems by solving mathematical equations representing the
system.
1950s  The beginning of the Systems Approach, which espouses that, to fully
understand the operation of an organization, the organization must be viewed
as a system composed of input, process, output, and the environment.

1970s  The emergence of the Contingency Approach, which views the managerial
actions as dependent on a set of contingencies.
1980s onward  Practice of more contemporary approaches, such as Total Quality Management,
Learning Organization and Technology-driven Workplace.

Assessment Interview a Manager


You have learned what a manager does in principle. In this activity, you will see what a manager
does in practice by getting to know a manager’s typical day. In an interview, ask the manager what level
of management he/she is in and what his/her tasks are (relating to the functions of management). Get
to know what his/her roles are as well. Find out what skills he/she uses to carry out his managerial
functions and roles. Make a report of your interview on a separate sheet and attach it here. Conduct
biography check to your interviewee.

Planning for the Second Year of Operations.
Charlotte’s Designer and Tailoring Shop performed well in its first year of operation. It went
beyond expectations. This is partly due to the advertisements of Charlotte’s service made by her friend

Organizing is the process by which a manager establishes the structure of working relationships
among employees for the efficient and effective achievement of organizational goals.

Organizations
The process of organizing takes place in and for an organization. An organization is an open and
social system that transforms input from the environment to product outputs. It is also known as an
enterprise.

 When the relationship is based on a structure of roles that aims to achieve organizational goals
consciously and deliberately, the organization is said to be Formal Organization.
 An Informal Organization, on the other hand, also contributes to the attainment of
organizational objectives through relationships among people that extend beyond those
established by management.

ACTIVITY 1: Continuing Case on Charlotte’s Designer and Tailoring Shop
Organizing by Function
Charlotte’s Designer and Tailoring Shop started with ₱ 300,000 from her savings and ₱ 100,000
through a bank loan. She used the bank loan to purchase sewing machines. She also used some money
for the construction of her tailoring shop. She bought sewing materials and supplies, which included
textiles, threads, zippers, buttons, scissors, and tailor chalk. She also hired two sewers.
Charlotte did the following activities during the first year of operations of her business:
 Define the target market
 Set sales targets
 Set cost and expense targets
 Set profit targets
 Hire and train dressmakers/ tailors
 Set compensation of dressmakers/ tailors
 Set production quota for dressmakers/ tailors
 Assign machines and supplies for each of the dressmaker/ tailor
 Provide a commission scheme to sewers
 Coordinate activities of dressmakers/ tailors
 Appraise performance of dressmakers/ tailors to check alignment with organizational goals
For the first year, Charlotte was doing most of these tasks needed to deliver services to her customers
except for sewing. Her friend, Regina, helps her through advertising her services through Regina’s
internet blog site. Another friend, Vicky helps her manage her financial records and books.
The company’s performance for its first year of operations went beyond the expectation of Charlotte
to at least break-even. The firm’s strong performance is mainly due to orders coming from Indonesian,
Malaysian, Thai and Singaporean mothers requesting for Charlotte to design and sew dresses for their
two- to four-year-old daughters.

ACTIVITY 3: Case Study

Direction: Identify and discuss the reasons behind Mr. Ramos’ lack of success.

Mr. Carlos Ramos founded a construction company after year of working as an engineer
in a large company. He has very good technical skills and had contacts which gave him small
contracts initially. He hired five employees at first which included a bookkeeper, a carpenter,
and unskilled laborers. His company remained small in the first five years and business growth
was gradual. However, on the sixth year, it began to grow to such an extent that he needed to
delegate some of his tasks to another skilled person. Contracts kept coming, large and small
alike, but he was spread too thinly in managing all these projects. When he has someone he
could hire, the person was technically skilled but could not coordinate all the activities in the
projects assigned to him. There were also some problems with service quality which he could
not handle. In the end, the person resigned and Mr. Ramos took over these projects as well.
Mr. Ramos finished all his projects but some were behind schedule. The company reputation
was also affected because of the service quality problems.
