What is It

In the age of rapid advances in computerization and technology, the front


office is expected to provide efficient and reliable services to the guest with the
optimum use of technology. The impact of technology on work, most especially in
the hospitality industry, has exponentially increased the rate of production and
speed at which booking business occurs. Technology in the hotel industry has
helped workers become more efficient and guests more satisfied with the services
they received than ever before. What used to take hours now can take minutes.

What Is a Hotel Reservation System?


Traditionally, a hotel reservation system was defined as a system that
enabled a hotel or group of hotels to manage front office capabilities, such as
booking reservations, guest check-in/checkout, room assignment, managing room
rates, and billing.

In these times of computerization and automation, it is a software


application implemented by hotels to allow guests to create secure online
reservations. This reservation system can be synced, not only with your current
website, but also with Facebook. This allows guests to reserve rooms in a way that
is convenient for them via social media.

In addition to allowing guests to book online directly, these reservation


systems can also provide hotel operators with additional resources. For example, a
channel manager may be a part of the reservation system, giving hotel operators
the chance to distribute their products and live availability simultaneously to their
entire network of online agents.

Furthermore, it integrates all critical operations of the hotel on one platform.


It provides real-time information on accommodations, reservations, restaurants,
spas, bars, and about every working arm of the hotel.

Types of Reservation System
There are several types of hotel computerized reservation system, but for this
lesson, the four types (see below) will be discussed.

1. Property Level (Property Management System (PMS))


2. Central Reservation System (CRS)
3. Global Distribution System (GDS)
4. Internet Distribution System (IDS)

A. The Property Level Reservation System

The computerization of the front office is a part of the Property Management


System (PMS), wherein all the departments of a property/hotel are linked to the
mainframe.

A hotel PMS is defined as a computer program that enables a hotel or group


of hotels to manage front office capabilities, such as booking reservations, guest
check-in/checkout, room assignment, managing room rates, and billing. A hotel
PMS replaced time-consuming, paper-intensive processes. It integrates all critical
operations of the hotel on one platform. It provides real-time information on
accommodations, reservations, restaurants, spas, bars, and about every working
arm of the hotel.

Property management system functions to automatically consolidate data


from all hotel departments for unified control and better decision-making and
eliminating paperwork. Program integration (or interfacing) with external third-
party systems, such as payments processors or revenue managers, is its
fundamental feature. Therefore, further incorporation of digital marketing

platforms, energy efficiency, reputation management systems, etc., is the
evolutionary way for PMS that will create even more value for hoteliers.

consumer's travel journey begins by selecting a destination while simultaneously
shopping for a hotel, that pre-stay shopping and booking interaction, their on-
property engagement with the hotel and its staff, their in-room experience, and
their sharing of feedback on social media post-stay are all part of their guest
experience, hoteliers are challenged with providing a personalized guest experience
while operating an effective hotel business.

Different Types of PMS Application Software Available for Use in Hotels:

1. eZee Absolute— is a cloud-based software that supports multi-property


management and has different integrated pieces that process certain
operations. The eZee Absolute front office module manages reservations and
housekeeping and conducts a night audit that can be set automatically or
manually. It is a product by eZee Technosys.

2. Hotelogix— Another PMS for small properties is Hotelogix. However, this PMS is
also suitable for hotels and resorts. It has a strong channel management
module, third-party integration with reservation platforms, and offers
customization.

3. Vreasy— Another solution for rental vacation property management is Vreasy. It


has a well-developed back-office module with the feature of task delegations to
all staff members, starting from the front office and finishing with housekeeping,
and offers its own communication platform.

4. Protel PMS— is a software that works for multi-property management of big


chains and independent hotels.

5. Stays PMS— is a relatively new property management system designed solely for
vacation property rentals. It features a channel management system with
connection to more than 40 distribution channels, including Airbnb,
Booking.com, Expedia, and HomeAway. Although this property management
system is not designed primarily to serve hotels, it has all the tools of a typical
hotel property management system.

6. Little Hotelier— is a cloud-based solution for small hotel properties like B&Bs,
hostels, and guesthouses. The PMS is powered by SiteMinder and integrates
with this reservation platform.

B. Central Reservation System (CRS)


A Central Reservation System (CRS) is a type of reservation software that is used to
update and maintain information of a hotel pertaining to inventory and rates so
that hotels are able to manage guest reservations and the process around such
reservations in real time. It is a platform used by hotels to centrally manage and
distribute room inventory, rates, and reservations.

The CRS typically receives inventory from the PMS, then distributes rates and
availability in real-time to direct and third-party channels, including the hotel’s
own website booking engine and call center (direct channels), as well as channel
managers, OTAs, GDS, and metasearch (third-party channels). Reservations from
these channels are sent back to the CRS and subsequently synced into the PMS for
room allocation. Hotel revenue managers and marketing/e-commerce managers
use CRS or distribution systems to create various promotions and offers through
rate plans for different channels and to adjust pricing quickly to be updated across
all channels. Reservation agents also work in the CRS to manage reservations.

A CRS is a software tool created to connect a property or chain to the Global


Distribution System, which connects over 600,000 travel agents, consortia and
corporate customers all over the world, the Internet Distribution Systems
consisting of online Travel Portals, online wholesalers and the leading tour
operators, and any call centers connected to the hotel. All this in a single system,
which also includes the online BE (booking engine) for the hotel’s official website.

C. Global Distribution System (GDS)


A Global Distribution System (GDS) is a worldwide conduit between travel
bookers and suppliers, such as hotels and other accommodation providers. It
communicates live product, price and availability data to travel agents and online
booking engines, and allows for automated transactions. It is often used to tap into
the corporate travel market because it has the ability to present hotels, flights, and
car rentals in one simple interface which is convenient. Many companies organizing
trips for their staff will use the GDS as their preferred booking method.

A GDS passes on hotel inventory and rates to travel agents and travel sites
that request it and also accepts reservations.

Advantages of using GDS in hotel reservation systems


1. The number of bookings generated through a GDS generally outpaces that
of direct bookings.

information, availability and rates in prominent locations where it is easy
for travel agents to find.

their clients booked quickly and efficiently.

their products that they could not previously reach.

1. Amadeus— is a GDS that facilitates sales and distribution of travel on a global


scale, connecting travel providers (airlines, hotels, car rental, tour operators,
etc.) with travel sellers (travel agencies and other intermediaries). It refers to the
reservation tool travel agents use when making an air, hotel, car or other travel
service booking. Amadeus is the leading GDS for the travel industry.

2. Galileo— is a global distribution system, which is based in Atlanta, Georgia, in


the United States. It is owned by Travelport, forming one part of their collective
offering, which also includes the Apollo and Worldspan systems. Galileo can be
used to book hotel rooms, airline tickets, train tickets, cruises and car rentals.
The system was originally developed in 1987 by nine European airlines,
including British Airways.

For hotel owners, the primary benefit of the Galileo GDS system is the ability
to distribute hotel rooms to travel agencies and customers on a global scale. This is
achieved by providing travel agents with 24-hour live access to inventories and
pricing information, allowing them to book rooms at the hotel for their customers.

1. Worldspan— is a provider of travel technology and content and a part of the


Travelport GDS business. It offers worldwide electronic distribution of travel
information, Internet products and connectivity, and e-commerce capabilities for
travel agencies and travel service providers and corporations.

2. Sabre— is a global distribution system, owned by Sabre Corporation, used by


travel agents and companies around the world to search, price, book, and ticket
travel services provided by airlines, hotels, car rental companies, rail providers
and tour operators.

D. Internet Distribution System (IDS)


An Internet Distribution System (IDS) is a collection of online travel portals
or agencies that have huge member bases and specialize in Internet marketing of
travel and related services. These 'One Stop Shops' have distinctive features that
can be used to drive potential travelers from the world over to your hotel. This term
is generally used to express the hotels distribution via Internet, Intranets,
Extranets, and other online services. It is also known as a synonym for ADS
(Alternative Distributions System). IDS is described as the distribution via third
party websites.
