B. Executive Summary
An Executive Summary is required when Sections C thru G of the charter are excessively long. In two or three
paragraphs, provide a brief overview of this project and the contents of this document.

Main idea of the project is to prepare a project plan to support the Information Technology needs
of an about to be created regional law firm. The managing partner of the firm is in the late stages
of consolidating with four other small firms in the 905 area in order to create a mid-size firm
with one main office, to be located in the Markham/Unionville HWY 7 corridor with a small
existing satellite office in each of Pickering and Mississauga to serve the east and west of the 905
regions.

Project requirements are to manage the design, purchase and installation of equipment for the
staff, 5 or more servers, reliable servers or cloud servers to store data and backups.The most
important part of the project is that it requires a software that will be easy to use and reliable.
Bob the managing partner expects all of the requirements done and the firm to be opened in no
longer than six months.

C. Project Purpose
Explain the business reason(s) for doing this project. The Project Purpose (the Business Problem and Project
Business Objectives) is in the Project Proposal, Section B.

1. Business Problem
The Business Problem is a question, issue, or situation, pertaining to the business, which needs to be answered or
resolved. State in specific terms the problem or issue this project will resolve. Often, the Business Problem is
reflected as a critical business issue or initiative in the Agency’s Strategic Plan or IT Strategic Plan.

The major problem of the business is it requires a software that is compatible, reliable, and easy
to use for the law firm. Since data of clients will be stored electronically and the data is very
confidential, security problems of the software is the main concern of this project.

2. Project Business Objectives


Define the specific Business Objectives of the project that correlate to the strategic initiatives or issues identified in
the Commonwealth or Agency Strategic Plan. Every Business Objective must relate to at least one strategic
initiative or issue and every initiative or issue cited must relate to at least one project business objective.

D. Assumptions
Assumptions are statements taken for granted or accepted as true without proof. Assumptions are made
in the absence of fact. List and describe the assumptions made in the decision to charter this project.
Assumptions and Constraints are a prerequisite to any project since they can be proved really
worthy to an organization. However, they could be risky for the project because sometimes they
might not be true. Some of the assumptions made are listed below :
● We would be getting all the required resources.
● The team hired has knowledge about the work to be done.
● The work would be performed keeping in mind the social distancing because of the
Covid-19 pandemic.
● The work would be completed in the designated time frame.

E. Project Description, Scope and Management Milestones

1. Project Description
Describe the project approach, specific solution, customer(s), and benefits. The Project Description is located in
the Project Proposal, Section C.
Project Description: We would be designing a unique computing solution for “Weall, Suthem and
Wynn” Law firm in order to fulfill their computing needs and to migrate their servers to the cloud
in such a way that all the client’s data is moved in a secure manner to the cloud without putting
client-attorney privilege in jeopardy.

Solution: Installing computers with the latest technology and access to cloud servers.

Customers: The primary customer would be “Weall,Southern and Wynn” Law firm.

Benefits: The major benefits of this project would be :


● The cloud migration will enhance the security for the firm.
● It would be much more simple to access and store data from anywhere and anytime.
● The firm would not require any new upgrade anytime sooner.

2. Scope
The Project Scope defines all of the products and services provided by a project, and identifies the limits
of the project. In other words, the Project Scope establishes the boundaries of a project. The Project
Scope addresses the who, what, where, when, and why of a project.
Project Scope : Project scope is an important part of project management which includes
determining a list of specific project objectives, tasks, potential costs to be incurred and
important deadlines.
In Scope: The law firm can store their data onto the cloud. In addition, There would be no
additional cost required to upgrade the system each year. The law firm need not to invest in
modern laptops as we would be installing the latest technology in existing computer systems
given that the existing systems meet all the requirements.

Out Scope: Only the authenticated employees of the law firm would be having access to the
cloud servers of the firm. The data would be made encrypted so that no third party applications
could access it, which is the primary objective of the law firm for this upgrade.
3. Summary of Major Management Milestones and Deliverables
Provide a list of Project Management Milestones and Deliverables (see Section E of the Project Proposal
Document). This list of deliverables is not the same as the products and services provided, but is specific to
management of the project. An example of a Project Management Milestone is the Project Plan Completed.

F. Project Authority
Describe the authority of the individual or organization initiating the project, any management constraints,
management oversight of the project, and the authority granted to the Project Manager.

1. Authorization
Name the project approval authority that is committing organization resources to the project. Identify the source of
this authority. The source of the approval authority often resides in code or policy and is related to the authority of
the individual’s position or title.

The project approval authority is the law firm that requires this project to support their goal. There are
three main decision makers, Bob Suthem, Linda Weall, and Pual Wynn, who are the partners of the law
firm.

2. Project Manager
Name the Project Manager and define his or her role and responsibility over the project. Depending on the
project’s complexities, include how the Project Manager will control matrixed organizations and employees.

The project manager is Nehal Gupta. His role and responsibility over the project includes:

● Organizing the project team

● Managing time schedule
● Estimating budget
● Analyzing project risks and process.

3. Oversight
Describe the Commonwealth or Agency Oversight controls over the project.
This is relatively a high-risk project as its idea is to combine 5 firms into a one larger firm with one main
office. The project should follow the IEEE standards and other commonwealth or agency. Both project
manager and program manager should be keeping track of the development of the software project as
well as managing the project quality. They need to also manage the hardware and equipment purchases.
The CEO from the law firms should manage their staff to assist with the project development.

G. Project Organization

Provide a graphic depiction of the project team. The graphical representation is a hierarchal diagram of the
project organization that begins with the project sponsor and includes the project team and other stakeholders.
2. Organization Description
Describe the type of organization used for the project team, its makeup, and the lines of authority.

This project team includes four major groups, Software Engineering, Finance, HR, and Problem
Managing. The software team is in charge of design, development, and testing. The HR team is
responsible for hiring and training candidates. The program managing team ensures that the
project fulfills the company's goal, including the equipment and software.

3. Roles and Responsibilities


Describe, at a minimum, the Roles and Responsibilities of all stakeholders identified in the organizational diagram
above. Some stakeholders may exist whom are not part of the formal project team but have roles and
responsibilities related to the project. Include these stakeholders’ roles and responsibilities also.
