Direct request letters use a direct approach and begin with the main request. No long introductions are needed since the reader is inclined to fulfill the request. Effective letters also avoid 'I' or 'we' and include relevant details.

A direct request letter starts with the request, includes relevant details, and avoids unnecessary introductions or persuasion. It also avoids 'I' or 'we' in the beginning.

An effective complaint letter should be clear, complete, and avoid being overly emotional. It provides details of the incident and requests action from the reader.

needed because the reader is inclined to say yes
to our request.

Please help us solve a problem with one of your employees. I would like to notify you of the
situation so you may discuss it with your staff.
On the afternoon of Thursday, November 14, a member of your Gaspro team came to deliver a
helium tank to our Salt Lake store. Normally, your employees are friendly and fast. That
particular afternoon was busy for us, and our sales associates were helping customers. Upon
delivering our helium tank, your employee, Maurice Melvin, turned the valve on and discovered a
leak. In a loud voice and in front of our customers, he explained to the associates it was their job
to search for the leak, saying "I don't work for you. That's your problem."
Without any idea how to go about fixing the problem, our associates started trying. About 15
minutes later, Mr. Melvin came back into the store and told the associates that the leak was
because the tank was the wrong size. Instead of admitting that he had delivered the wrong tank,
he told the associates that they should've checked the tank before accepting it. When I asked Mr.
Melvin how it was that he had delivered the wrong tank, he became angry and shouted at me.
Several customers left the store immediately, obviously distressed.
Please speak with your staff about this. We look forward to continuing to do business with your
company as we have been well served for the last five years. If you have any questions, please
call me at 492-5555.

Please let me know the procedure to follow to be compensated for damage to my

luggage.
On Monday, November 2, 20xx, I traveled on your airlines from Honolulu to
Washington D.C. When I my bag was delivered to me in Washington D.C., I found that I
had been badly damaged. There were four large scratches in the leather. As the bag was
in perfect condition when I checked it in New York, the damage must have occurred
while it was in your custody.
Enclosed is the following documentation:
a copy of my flight receipt showing my flight on your airlines
a photograph of the bag with the scratches clearly visible
a bill of sale indicating that I purchased the bag on October 30 fro #252.34
a written estimate of the cost of the repair of the bag for $300
I am sure that you will agree that the only fair adjustment is the replacement of my
bag, which I had purchased just three days before the trip. The bag may be repaired but at
a cost nearly $50 more than the bag's purchase price.
I have always enjoyed the good service of your airline, and I look forward to the
receiving the same kind of good service in this matter.
Very truly yours,

Steven Mosely

Please excuse Mary Toledo from jury duty on Oahu in that it creates a severe hardship

provide her with time off during the work day to assist in their daily care. Ms. Toledo

Please send me information on the ferret food line described in your product
catalog. I'd like to know the following:
Notice how bulleted and
numbered lists make it easy for
our reader to see the info we are
requesting. This ensures that
the reader answers all of our
questions (which is the goal of
this letter, after all.)

Is the food made from organic sources?

What is the true percentage of cornmeal thats added?

What are the Omega-3 and Omega-6 fatty acid ratios?

Have there been any adverse reactions (to your knowledge) to your ferret line?

Do you make specialized foods for ferrets?

As a veterinarian for exotic animals, I need to know the different foods available
to my ferret patients. There are not very many companies that make a ferret food, and
what few there are, they are not very good as far as ingredients and nutrition.
I plan to contract the Ferret Association of Massachusetts to be their private
veterinarian next month. A prompt reply would be most appreciated, since time is of the
essence. I am looking forward to hearing from you soon.
