Key elements of an invoice.

Let’s look at the 10 key elements which are included in all professional invoices.

key elements of an invoice

1. Header & logo

Adding a header which clearly identifies the document as an invoice can make it simpler to review your records, complete your accounts and submit tax filings. It also makes it easy for the customer to see the document is an invoice - which needs paying - as opposed to a quote or receipt which can look similar.

Use our free invoice creator to add a logo to make the invoice reflect your company brand and give it an even more professional look.

2. Invoice Number

Using a unique invoice number can help keep track of multiple invoices, and make reconciling your company accounts easier. You may also add a purchase order number to the invoice as another method of tracking your business activity.

3. Name and details of client

For your own records, when you create an invoice it’s important to add the name and contact details of your client. These contact details should include an address, phone number, and email address.

4. Company name and details

A professional invoice will include your business’s legal name and contact details like your address, phone number, and email.

This avoids confusion, and makes sure your customer will always know how to get in touch if they have any queries - or when they want to buy from you again.

5. Date of sending invoice

Add the date the invoice is sent - alongside the date that the payment is due. Your client will easily be able to see they’re dealing with the most recent payment request, and also double check when the money is due.

6. Description of goods sold or services rendered

Using a clear line by line description of the goods you’ve sold - or the services you’ve provided - is crucial to avoid confusion. Remember to add how many of each item was sold if relevant.

7. Cost per unit or product

Next, use the online invoice generator to enter the costs of each item sold, or the hourly rate agreed and the number of hours worked.

You should now have a clear description of exactly what you’re billing for - making it easier for your client to double check the details of the invoice can mean fewer queries and a faster payment.

8. Tax rates and fees

Enter the details of any tax, shipping and handling, or extra fees that apply to the goods or services provided.

You’ll also find the invoice creator offers a separate discount box if you’ve agreed any discounts with your customer in advance. Just add the details here to confirm the arrangement.

9. Total amount with currency

The invoice generator will calculate the total balance due from the line items entered. You’ll be able to review, check, and make amendments as needed, and change the currency as you wish.

10. Terms, conditions and payment instructions

Invoice terms can vary widely depending on your industry, company policy or history with the client. However, clarifying what’s been agreed, as well as the consequences of either party breaking this agreement is important to protect both the buyer and the seller. Penalties may include late fees or additional charges if an invoice is not settled on time, for example.
