Fix bugs 🐛

2023-09-11 中文版修復臺灣專用簽到表會產出2個「出席名單」。(fixed chinese version's bug)

取得檔案

請務必使用「建立副本」的方式將檔案複製到您的雲端硬碟中。建議您除了主程式的試算表之外,可以同時將「臺灣公務機關常用內部會議通知單」與「臺灣公務機關常用內部會議簽到表」複製過去,第一次試用時,可以做為測試用的檔案。(請將檔案名稱中的「的副本」更名清除)

開啟會議通知單範本,匯入出列席人員

開啟本程式提供的「臺灣公務機關常用內部會議通知單」(範本)後,利用試算表進階功能選單的「匯入出列席名單(臺灣專用)」,將名單與通知單彙整在一起。

開啟新的會議

利用既有的「臺灣公務機關常用內部會議通知單」(範本)建立副本後,將會議改為新的名稱,就能開啟新的會議,當然,您自己也可以準備符合自己版面需求的會議通知檔案。將樣版檔案名稱同步更改。更換樣版檔案的方式有2種:

  1. 使用會議通知單檔案的名稱,檔案需要與試算表放在同一個資料夾。
  2. 使用會議通知單檔案的共用連結,檔案位置則無限制。

建立新的出列席名單

請利用試算表的「名單」工作表,建立起新一輪的「出列席名單」,用來匯入至會議通知單或者製作簽名表。

  1. 您可以在試算表中建立許多不同的會議名單,要用來匯入會議通知單或製作簽名表的那一個,命名為「名單」即可。
  2. 名單中6個預設欄位請務必保留,在「出列席」欄位中,標註「p」表示成為出席身分,標註「a」表示成為列席身分。
    • 小技巧:「出列席」欄位空白時,等於保留成員但不處理。
  3. 排列順序也是匯入會議通知單或製作簽名表時顯示的順序,您也可以新增自訂自己的欄位,方便資料分類整理。

匯入出列席名單至會議通知單

打開新增的會議通知單檔案,分別在需要的位置上輸入「{{出席}}」與「{{列席}}」,接著利用試算表進階功能選單的「匯入出列席名單(臺灣專用)」,即可將名單與通知單彙整在一起。

  1. 在會議通知單相應的位置上輸入{{出席}}、{{列席}},使用既有檔案新增的時候,可能需要清除之前套印的名單。
  2. 在「名單」工作表的「出列席」欄位中,試著變更出列席人員的屬性,將第1位不是動物的出席者改為列席(a),其他動物則為出席(p)。
  3. 名單中成員排列的順序,就是匯入時(顯示)的順序。

添加附件

您可以為會議通知添加必要的附件,所有成員都收到的共同附件,或者只限某位成員的個別附件,而且附件數量沒有限制。

  1. 附件添加方式3種,(1)檔案名稱、(2)檔案共用連結與(3)資料夾共用連結。
  2. 使用檔案名稱的時候,請將檔案放置於試算表同一個資料夾下。若不是使用Google格式的文件,比如程式的logo圖片,檔案名稱需要輸入「Meeting.png」。

寄發會議通知單

只要提供正確的電子信箱,會議通知單就能順利寄送。寄送結果會記錄在名單工作表的「處理結果」欄位,有下2種情形無法寄送:

  1. 錯誤:電子信箱格式有問題。
  2. 錯誤:個別附件格式有問題。
  • 共同附件格式錯誤時,不會寄送也不會記錄。

自由新增出席名單中的欄位

只要不要刪除或修改紅色欄位與標題,您可以在名單工作表中新增自己的欄位,隨意調整欄位的順序,方便您整理資料。

將欄位資料套用到信件內容

只要利用{{欄位標題}},您就可以將名單中的資料套印到會議通知信件內容文字中,讓整封信讀起來像是客製化。

將會議行程加入「Google日曆」

在寄發出去的會議通知信中,程式會依據您所填寫的會議資料,為您自動建立「Google日曆」的連結,方便收信的會議成員可以管理行程。

製作簽到表

最後,會議場合最重要的簽到表,總共提供3種格式:

  1. 臺灣(中文)專用格式 臺灣(中文)專用格式示範畫面

簽到表自訂顯示組合

如果簽到表希望能出現我們自己新增的欄位標題與資料,請使用設定工作表中的「簽到表自訂顯示組合」,示範是以臺灣專用格式與歐美(含成員資料)為例子。

Founction menu "Advanced"

Please open the spreadsheet "Meeting!". After a short wait, "Advanced" will appear in the upper function menu (you may need to refresh the web page 1-2 times for the first time). Please try the "Send a meeting notice" of the advanced function. ”, your authorization is required when using it for the first time.

Open the meeting notice template and import the attendees

  • If you do not need to use Taiwanese format, please skip this step.

After opening the "Template notice of internal meeting of Taiwan's public agencies" (template) provided by this program, use "Merge 'List' to Notice (Taiwan Type)" in the advanced function menu of the spreadsheet to compile the list and notice together.

Make a sign-in sheet

After opening the "Sign-in Sheet of International Contributor Recognition Conference" (template) provided by this program, you can easily complete it by using "Make a sing-in sheet A" in the advanced function menu of the spreadsheet.

Build a new meeting

Use the "Notice of International Contributor Recognition Conference" (template) provided by us to create a copy, change the name and content to your own, and start a new meeting. Of course, you can also prepare a layout that meets your needs as a new meeting notice file. Next, please enter the file of the new meeting into "Notice's Template". There are two ways to enter it:

  1. Use the name of the meeting notice file. The file needs to be placed in the same folder as the spreadsheet.
  2. Use the shared link of the meeting note file, and there is no limit on the file location.

Create a new attendance list

Please use the "List" sheet of the spreadsheet to create a new "Attendance List" for importing into the meeting notice or making a sign-in sheet.

  1. You can create many different meeting lists in your spreadsheet. Just name "List" the one you want to use to import meeting notices or create sign-in sheets.
  2. Be sure to keep the 6 default red fields in the list. In the "Present" field, mark "p" to indicate "present", and mark "a" to indicate "in attendance".
    • Tips: When the "Present" field is blank, it means that the member is retained but not processed.
  3. The sorting order is also the order displayed when importing meeting notices or making signature forms. You can also add and customize your own fields to facilitate classifying and organizing data.

  • If you do not need to use Taiwanese format, please skip this step.

In Taiwan, we will display the attendance list on the meeting notice. Open the newly added meeting notice file, enter "{{present}}" and "{{attendance}}" in the positions you want, and then use the "Merge 'List' to Notice (Taiwan format)" in the advanced menu , you can put the list and the notice together.

  1. Enter {{present}} and {{attendance}} in the position you want on the meeting notice. When editing using the previous file, you may need to clear the previously overprinted list.
  2. In the "Present" column of the "List" sheet, try to change the attendance of each person. Change the first attendee who is not an animal to attend (a), and other animals to present (p) .
  3. The order in which the members are listed is the order in which they are imported (displayed).

Add attachments

You can add necessary attachments to the meeting notification letter, common attachments received by all members, or individual attachments limited to a certain member, and there is no limit to the number of attachments.

  1. There are 3 ways to add attachments, (1) file name, (2) file sharing link, (3) folder sharing link.
  2. When using a file name, please place the file in the same folder of the spreadsheet. If you are not using a Google format file, such as a program logo image, you need to enter "Meeting.png" as the file name.

Send a meeeting notice

As long as you provide the correct email address, the meeting notice can be sent. The delivery result will be recorded in the "Notice" field of the list sheet. There are two situations where delivery cannot be performed:

  1. Error: There is a problem with the email format.
  2. Error: There is a problem with the format of some attachments.
  • If the common attachment format is incorrect, it will not be sent or recorded.

Add a custom column to the list

As long as you do not delete or modify the red columns and titles, you can add your own columns to the "List" sheet and adjust the order of the columns at will to facilitate your data organization.

Apply field data to letter's content

By using {{your custom column name}}, you can overprint the information from the list into the text of the meeting notification letter, making the entire letter read as customized.

Add meeting schedule to Google Calendar

In the meeting notification letter sent out, the program will automatically create a link to "Google Calendar" for you based on the meeting information you filled in, so that the meeting members who receive the letter can manage their schedules.

Finally, the most important sign-in sheet for meetings is provided in 3 formats:
